Read the guide1. Name the authority before collecting terms
Record the manuscript version, language variety, agreed dictionary or style guide, and any author or publisher preferences. When authorities disagree, write down which one controls the engagement. Do not label a preference an error simply because a different convention exists.
2. Record decisions in a small, consistent format
For each entry, record the preferred form, variants to check, category, source location, status, and any exception. A hypothetical entry might prefer ‘grey’ in narration while retaining ‘Gray’ as a surname. Literal matching alone cannot decide which context applies.
3. Separate mechanics from story facts
Keep spelling and capitalization decisions distinct from character ages, aliases, locations, chronology, and world rules. A story fact may change during the narrative; record when it is true. A house-style preference usually applies more broadly but can still have intentional exceptions.
- Mechanics: spelling, hyphenation, capitalization, numbers, and punctuation preferences.
- Story reference: names, aliases, relationships, timeline facts, and world rules.
- Open questions: the issue, evidence, person deciding, and current status.
4. Review before checking the next draft

5. Save the reusable structure, not the client’s content
